01 Introduction

Welcome to Zynexis ("the Bot"). This Privacy Policy explains how we collect, use, store, and protect your information when you use Zynexis on Discord. By using the Bot, you agree to the collection and use of information in accordance with this policy.

Zynexis is currently under active development; features and data practices may evolve, and we will notify users of significant changes through our support server.

02 Information We Collect

To provide moderation and management services, we collect the following:

2.1 Automatically Collected Data

  • User Identifiers: Discord User IDs, usernames, display names, avatar URLs, and account creation timestamps.
  • Server (Guild) Data: Server IDs, names, channel configurations, and role hierarchies.
  • Message Data: Message content, processed transiently for AutoMod and the snipe utility, plus message IDs and mentions.

2.2 User-Provided & Moderation Data

  • Moderation Records: Warning reasons, ban/mute durations, and staff notes stored via our persistent case-management system.
  • Configuration: Custom prefixes, join-role settings, and log channel preferences.

03 How We Use Your Information

We use collected data strictly for the following core functionalities:

  • Case Management: Maintaining a persistent, searchable database of disciplinary actions (BAN, KICK, MUTE, WARN) via unique hex-codes.
  • Security & Rejoin Handling: Identifying rejoining members with active sanctions to re-apply mutes or restrictions automatically.
  • Advanced Logging: Fetching audit-log reason data to give administrators detailed accountability logs.
  • AutoMod & Utility: Running a dual-layer AutoMod engine and providing "snipe" functionality for recently deleted content.

  • Permanent: Moderation history and server configurations remain until manually cleared by an admin or requested via data deletion.
  • Temporary: Snipe data is overwritten on a rolling basis and is usually deleted on user's request or by restarting the Bot. AFK status and violation tracking are cleared upon user return or bot restart.

05 Data Sharing and Disclosure

No Third-Party Sharing. We do not sell or share user data with advertisers, data brokers, or marketing companies.

Compliance: Data is only shared with Discord as required by their API, or for legal compliance and safety reasons to prevent fraud and abuse.

06 Security Measures

We implement industry-standard security measures, including restricted file permissions for JSON data, secure bot token management, and input validation to prevent unauthorized access and injection attacks.

07 User Control and Rights

You have the right to access, correct, or request the deletion of your data.

Server admins can clear warnings, notes, and configurations using bot commands, or by removing the Bot from the server.
Individuals may request a full data wipe by joining our support server and opening a ticket.

We will respond to all data requests within 30 days.

08 Compliance & Children's Privacy

This application complies with the Discord Developer Terms of Service. In accordance with Discord's ToS, Zynexis does not knowingly collect data from users under the age of 13.
